GENERAL PROCEDURE FOR THE COMPETITION 2019

TUESDAY, 30TH APRIL & WEDNESDAY, 1ST MAY

FIRST AND SECOND ROUND

Both rounds follow the same schedule

  • Each team receives the case in its allocated room in the Student Hotel, according to a staggered system at 08:00 hrs, 08:40 hrs, 09:20 hrs, or 10:00 hrs, following the team allocation method. 
  • At the designated time, a team representative will receive four (4) copies of the case in a sealed envelope, as well as a USB stick. Subsequently, s/he will sign a confirmation of receipt specifying the time of delivery.
  • Each team will have three (3) hours to work on its solution, presentation, and handout. They will not be allowed to contact non-team members (such as advisors, relatives, friends etc.).
  • ICC@M staff collect the presentations at the hotel rooms after the three (3) hours preparation time. The submission time will be 11:00 hrs, 11:40 hrs, 12:20 hrs, or 13:00 hrs – again, following the team allocation method. A team representative will sign a submission form and deliver the USB stick containing the team’s documents.
  • Before leaving the hotel for the School of Business and Economics (SBE), each team will receive printed copies of the documents on the USB stick. ICC@M will save a backup of said documents on SBE servers. Copies for the judges will be printed from this backup. The teams will get their USB stick containing their documents back, and they are advised to bring it along as their backup.
  • A bus takes the teams from the Student Hotel to SBE at 11:30 hrs, 12:10 hrs, 12:50 hrs, and 13:30 hrs. The advisors will not be on the bus, but will be escorted to SBE as a group. 
  • The teams rehearse their presentation at 12:00 hrs, 12:40 hrs, 13:20 hrs, or 14:00 hrs in SBE rooms assigned by ICC@M staff. The rehearsal rooms come fully equipped with all multimedia technologies needed to hold a presentation.
  • The teams present at 12:30 hrs, 13:10 hrs, 13:50 hrs, or 14:30 hrs, in Business Formal attire. ICC@M staff will escort the teams to their presentation room. Each team has five (5) minutes to set up its presentation.
  • All participants have lunch between 12:00 hrs and 15:30 hrs.
  • At 15:30 hrs, all teams proceed to Ad FundUM for the announcement of the winner and the ranking of the teams. 
  • Afterwards, each team returns to its presentation room for a private feedback session with the judges, lasting no more than 5 minutes. 

 

THURSDAY, 2ND MAY

  • Each team receives the case in its allocated room in the Student Hotel, according to a staggered system at 08:00 hrs, 08:40 hrs, 09:20 hrs, or 10:00 hrs, following the team allocation method. 
  • At the designated time, a team representative will receive four (4) copies of the case in a sealed envelope as well as a USB stick. Subsequently, s/he will sign a confirmation of receipt specifying the time of delivery.
  • Each team will have 24 hours to work on its solution, presentation, executive summary, and handout. They will not be allowed to contact non-team members (such as advisors, relatives, friends etc.).
  • Teams receive lunch in their rooms, either at 12:00 hrs, 13:00 hrs, or 14:00 hrs.
  • Teams receive dinner in their rooms, either at 18:30 hrs, 19:30 hrs, or 20:30 hrs. 

 

FRIDAY, 3RD MAY

THIRD ROUND (MORNING)

  • The submission time will be 08:00 hrs, 08:40 hrs, 09:20 hrs, or 10:00 hrs. ICC@M staff collect each team’s USB stick containing the documents at the hotel rooms and have a team representative sign a Submission Form.  ICC@M staff reserve the right to conduct a quick but not invasive inspection of the computers in the room.
  • Teams receive printed copies of the documents saved on the USB stick, as well as the stick itself, before leaving the hotel for SBE. The documents will be backed up by ICC@M staff on SBE servers; the documents for the judges will be printed from this backup. Each team is advised to bring along its USB stick as backup. 
  • A bus takes the teams from the Student Hotel to SBE at 09:20 hrs, 10:00 hrs, 10:40 hrs, and 11:20 hrs. The advisors will not be on the bus, but will be escorted to SBE as a group.
  • Teams rehearse their presentation at 09:50 hrs, 10:30 hrs, 11:10, or 11:50 hrs in SBE rooms assigned by ICC@M staff. The rehearsal rooms are fully equipped with all necessary multimedia technologies for a presentation. Teams present following the staggered system at 10:30 hrs, 11:10 hrs, 11:50 hrs, or 12:30 hrs, in Business Formal attire. ICC@M staff and team hosts escort the teams to their presentation room. Each team will have five (5) minutes to set up its presentation.
  • The teams will have lunch between 12:00 and 14:00 hrs.
  • The four (4) finalists will be announced around the end of lunchtime, after which each finalist team will proceed to a separate room to prepare for the final round.
  • Non-finalist teams are welcome to approach the judges for feedback.

 

FINALS

  • ICC@M staff print and deliver the presentation handouts and executive summary to the judges before each presentation.
  • Finalist teams have a practice room at their disposal from the moment of the announcement until presentation time.
  • The finals are open to the public and take place in the SBE Lecture Hall. The public can enter the Lecture Hall between 13:00 hrs and 14:25 hrs.
  • The four finalist teams present at 15:00 hrs, 15:40 hrs, 16:20 hrs, and 17:00 hrs. 
  • The Award Ceremony is a private event starting at 20:10 hrs.
